DISCLAIMER AND TERMS & CONDITIONS OF PARTICIPATION FOR AL KHAADEM YOUTH CAMP (AKYC)
General Acceptance of Risk: By participating in the Al Khaadem Youth Camp (AKYC) (hereinafter referred to as the "Camp"), all the participant (hereinafter referred to as the "Participants")s and their guardians acknowledge and agree that they are aware, knowingly and willingly assuming all the risks that may occur directly or indirectly associated with their participation in all activities related to the Camp including but not limited to any losses, damages or injury that may occur during the travelling to and from the Camp.
Nature of Activities: The Participants understand and aware that the Camp includes a variety of outdoor activities which inherently carry risks which are generally expected from such outdoor activities. Specifically, the activities at the Camp may include, but are not limited to:
● Hiking: Terrain challenges and varying elevations may be present.
● Running: Possible on both established trails and open fields.
● Jungle Trekking: Navigating through dense forest areas with potential encounters with local fauna.
● Swimming: Engaging in open water or pool-based activities.
● Kayaking: Paddling in water bodies which may have varying currents.
These activities can lead to potential risks such as injury, loss of personal belongings, and exposure to adverse weather conditions.
Camp's Limitations:
● The Camp’s mentors and trainers are not equipped to cater to Participants with specific special needs.
● The Camp cannot accommodate and will not accept Participants with physical deformities, developmental disabilities like autism and ADHD, or severe mental illnesses such as clinical depression and social anxiety.
● Al Khaadem advises parents to consult with pediatricians or child psychiatrists before considering the Participant’s enrollment in the Camp and to inform the Camp prior to the Participant’s enrollment.
Nature of the Camp:
● The Camp focuses primarily on spiritual and personal development and not on leisure basis.
● Participants are to be prepared and anticipate for a series of physically and mentally demanding activities throughout the Camp.
● All the activities will undergo supervision by trained personnel and adhere strictly to the safety standard operating procedures (SOPs) imposed by the local authorities.
● The accommodation provided during the Camp, although fundamental, is kept minimalistic to instill values of independence and self-reliance among the Participants.
Parental and Guardians Involvement:
● Parents/guardians are NOT ALLOWED to get involved as the Participants in the Camp or to visit the Participants during the Camp.
● The Camp enforces a strict ‘no-parents/guardians at camp’ policy to ensure Participants can be independent and express themselves effectively throughout the duration of the Camp.
Prohibited Items and Security Inspection:
● Parents must ensure the Participants do not bring any prohibited items, such as including but not limited to media devices, portable gaming devices, expensive valuables, sharp objects, and smoking-related products or any items which in the opinion of the organizer is considered as prohibited items throughout the duration of the Camp.
● A security inspection will be conducted upon arrival on all the Participants and their personal belongings; The organizers of the Camp reserve the right to confiscate such prohibited items, which will be returned back to the Participant at the end of the Camp.
Health and Medical Emergencies: While the Camp will make every effort to ensure the safety and well-being of all the Participants, in the event of a medical emergency, the Camp’s volunteers may administer necessary first aid or seek professional medical assistance. Any cost or expenses incurred will be the responsibility of the Participant or their parents/guardian. If necessary, the Camp’s organizer shall contact the Participant’s parents/guardians to attend to the Participant and depending on the condition of the Participant, the Camp’s organizer may request the parents/guardian to take the Participant back home for further medical attendance.
Medical Consent: In the event of a medical emergency, the Participants and their parents/guardians grant their consent to the Camp’s organizer and its volunteers and/or staff to administer necessary first aid, and if required, to seek professional medical treatment for the Participant. The Participants and their parents/guardians acknowledge that it is their responsibility to inform the Camp’s organizer prior to the enrolment of the Camp of any medical conditions, allergies, or medications that the Participant may have or be taking. The Participants and their parents/guardians further agree to hold the Camp’s organizer, its volunteers, and affiliated entities harmless and indemnified for any and all actions taken in good faith during medical emergencies. The Camp’s organizer will not be responsible to administer any medication which the Participant may need to consume during the Camp (if any).
Behavioral Expectations: All the Participants must adhere to the rules and guidelines as imposed by the Camp’s organizer throughout the duration of the Camp. Non-compliance of such rules and guidelines may lead to an immediate removal of the Participant from the Camp without any reimbursement of the Camp’s fees. The Camp’s organizer shall not compromise any sort of misbehavior and misconduct by the Participant against the Camp’s organizer and/or to other Participants.
Personal Property: The Camp’s organizer underscores the importance of the Participants taking full responsibility for their own personal belongings throughout the duration of the Camp. The Camp is not liable and responsible for any losses or damages that may occur on the Participant’s personal belongings, although reasonable assistance may be provided by the Camp’s organizer in locating for misplaced items if it doesn't disrupt the Camp’s activities.
Liability: The Participants and their parents/guardians shall fully indemnify, hold harmless and if requested by Al Khaadem and/or the Camp’s organizer defend the Camp’s organizer, Al Khaadem, its affiliates, employees, volunteers, associated entities from and against any and l all actions, costs, damages, expenses, losses, payments, fines, penalties, liabilities, claims, and demands made against, suffered or incurred by the Camp’s organizer or Al Khaadem arising howsoever from or in connection with the Camp (which shall include but not limited to resulting from injuries, accidents, or illnesses (up to and including death), and property loss).
Media Release: The Participants and their parents/guardians acknowledge that photos, videos, and other media may be taken during the Camp’s activities and therefore shall grant the Camp’s organizer and its affiliate entities unrestricted rights to utilize such media for promotional, educational, or other appropriate purposes without obtaining prior consent.
Communication Policy:
● A zero-communication policy is strictly enforced to preventing any direct communication between the Participants and the parents/guardians and their children throughout the duration of the Camp.
● All mobile phones of the Participants will be collected by the Camp’s organizers on day-one of the Camp and shall be returned to the Participants on the last day of the Camp to minimize any distractions.
● For any emergencies or urgent matters, the parents/guardians may contact Al Khaadem’s office office..
● Parents/guardian may be updated via Al Khaadem’s social media platforms for daily highlights of the Camp from time to time.
● Essentially, parents/guardians outreach from the Camp is reserved strictly for emergencies or urgent matters only.
● Al Khaadem or the Camp’s organizer will not engage/entertain any personal updates to the parents/guardians via calls, WhatsApp, or messages about the Participants wellbeing throughout the duration of the Camp. Rest assured, the Camp’s organizer will promptly inform/update the parents/guardians should there be any emergency or urgent matters which may affect the Participants at any time during the Camp’s event..
Cancellation & Refunds: Any refunds of the Camp’s fees due to participant-initiated cancellations will be in accordance with the refund policy provided during the registration. If in the unfortunate event that the Camp has to be cancelled due to emergency or circumstances out of our control (This includes situations relating to COVID-19 and adverse weather condition), we will offer placement at our Camp, to take place at a later date and no refunds will be permitted.
Changes to Terms: Al Khaadem and/or the Camp’s organizer shall have the right and absolute discretion to amend these terms as and when necessary. Such modifications will be promptly communicated to all the Participants, parents/guardians.
Acknowledgement and Agreement: By ticking the box below, the Participants and their parents/guardians attest to having fully understood and voluntarily agree to the stipulated terms as set out above.
